Duplicate List
Overview:
The duplicate list report is used to search out duplicate names
and addresses that may exist in the mailing list.
For general information on running a report see Using a Report
Choice Fields
Search Order This indicates by which order the mailing list should
be searched. There are 4 choices:
Z-The first 5 digits of the zip code, plus the last name
N-The last name, plus the first letter of the first name
A-The first 5 digits of the zip code, plus the street address
P-First 2 digits of the zip code, plus the last name, plus the
first letter of the first name
It is highly recommended to use all 4 methods, one at a time.
Start Position The start position indicates where to start
searching in the mailing list. The value to be entered depends on
the Search order chosen.
Z-Enter a starting zip code
N-Enter the portion of a last name
A-Enter a starting zip code
P-Enter a 2 digit zip code
End Position The end position indicates where to stop searching
in the mailing list. The value to be entered depends on the Search
order chosen. The Start and End Position indicate a range to search.
The purpose is to limit the search to a manageable portion, otherwise
the resulting printout of duplicates would be very large. When the first
batch of duplicates is cleaned up then print out another range until the
end of the mailing list is reached. Repeat this for all 4 search methods.
To merge duplicate names use the Combine Customers program.
